The Reason for Change

AEM Systems Consulting Founder, Amanda McCoy grew up in the greater Seattle area. Her parents were early adaptors of technology, and she had exposure to computers from a very young age. This was instrumental in teaching herself the skills necessary to build the systems which let her to where she is today.

 

In her mid-twenties she found herself in the San Francisco Bay Area. She took on a position as a barista at a high-volume cafe while also working as a stylist and inventory manager at a small independently owned boutique in North Beach. When she was faced with the option to open a cafe or go back to school, she completed her BA at the San Francisco State University (SFSU) in Communication Studies, with a focus in Marketing and Search Engine Optimization (SEO). While earning her degree, she also worked as a server at a fast-paced casual fine dining establishment in the heart of San Francisco, and simultaneously wrote for the American Marketing Association, further exploring her interests in SEO and Content Marketing. At this point, she lived for the hustle, juggling anything she could to make ends meet while absorbing any skill she could.

 

Following Amanda's graduation from SFSU in 2016, she moved to New York City and found herself working as a Shift Manager at a hot dog stand in Williamsburg. While still maintaining that position, she was hired as a Receptionist at a global finance firm and quickly took on the tasks of an office Administrative Assistant, supporting 25 staff members with expenses, scheduling and presentation preparation, as well as supporting the Administrative Manager for North America and the Executive Assistant to the CEO in the New York office of a global finance firm headquartered in Paris. She soon found herself unofficially managing office administration and quickly learned how to implement new ways to keep staff in sync, as well as create systems and processes to manage the administrative tasks under her purview. 

 

Following the administrative position in finance, Amanda began working as a Human Resources (HR) Assistant at a boutique high-end property management company. She was quickly promoted to HR Administrator and Executive Assistant in support of the head of HR. 

 

While there, she found the onboarding processes much too slow for the retention of prospective employees. The turnaround time on screenings and the systems previously in place for tracking and notifications were piece meal, with too many items to manually review, which left the company open to liability and had resulted in too many previous judgement errors. After cleaning up the manual tracking system they had in place and HR's electronic filing system, she began researching different platforms which allowed for integrations between screening companies and the onboarding platforms, as well as allowing for passthrough via API integration with ADP, the payroll processing system.

Within 6 months, she had completed the implementation of the newly integrated systems which decreased the onboarding time by up to two weeks, decreased the number of hours needed for payroll processing and the number of payroll data entry errors, saving the company $6,000 dollars annually in onboarding system costs. Not to mention the thousands more in company overhead savings due to repeat screening, talent acquisition costs, and overlooked payment errors due lack of oversight on payroll entry data.

 

After leaving the boutique property management firm, Amanda was asked to join another larger and more prominent property management company with a much larger portfolio facing similar issues. After transitioning, she then assisted in setting up another onboarding tracking system which was fully accessible to the team. She created automated management approval workflows using Teams and Power Automate to reduce the number errors in onboarding and ensured processes were being finalized by producing automated document generations for sign-off and filing, improving individual and department accountability. She then moved on to build additional workflows for hiring requisitions to the talent acquisition team as well as automations to the leave of absence process to reduce the administrative burden, by . Her contribution to the company was substantial and she ended up saving the company thousands of dollars annually in administrative labor.

 

After setting up these systems, and teaching the team how to manage them, her job was done! This gave Amanda an idea... 

 

What if Amanda could take this skill to other small and medium sized companies nationwide and help them to affordably streamline their processes using the skills she had gained from implementing all of these past automations?

That is how AEM Systems Consulting was born.

Now Amanda uses her skills and unique perspective to help her clients by offering efficiency, clarity and balance through employee-driven custom-built automation systems and consulting for established businesses. 

 

While AEM Systems Consulting is based in New York, Amanda is dedicated to in-person reviews of company processes. This allows her to discuss the true pain points of your company processes with the employees who complete them.
